Appointment setting services (2026): pricing, process and what results to expect
Short answer: A B2B appointment setting service builds a list of your ideal buyers, contacts them by email and LinkedIn (and sometimes phone), handles the replies and puts qualified meetings on your calendar. In 2026, published prices run from $899 a month for managed outbound (Digital Patron) and $150 to $300 a meeting (LeadShuttle) in India, to ₹3,00,000 a month for ClientMagnet's appointment setting and $3,000 to $15,000 a month for US retainers, with enterprise pay-per-meeting at $300 to $600. The first meetings usually land in weeks three to six. Results depend on the list and the offer: the two cases we publish booked 22 qualified meetings in 21 days and 19 in 45 days.
Every external figure here is quoted from a named, dated public page as checked on 14 October 2026 and listed under Sources. Digital Patron is an appointment setting vendor with offices in Gurugram and Mohali, so treat our prices as one vendor's prices. We do not employ human SDRs; campaigns are run by AI agents and our team, and that shapes both our pricing and our process.
The process, week by week
A properly run programme takes about six weeks to reach steady state. Anyone promising meetings in week one is either reusing a list and infrastructure from another client or sending from your main domain.
Week 1: ICP and list build
Define the ideal customer profile at the level of company (industry, size, geography, tech stack, hiring or funding signals) and person (titles that own the problem, not just the budget). Build the list from Apollo, LinkedIn Sales Navigator or a similar source, enrich it, verify every email and remove anyone who has already spoken to you. A good list for a single persona is 1,000 to 2,500 contacts; our $800 package covers roughly 2,000 enriched leads a month.
Weeks 1 to 2: infrastructure
Register secondary domains that look like yours, create mailboxes on each, set SPF, DKIM and DMARC, and start warm-up. Warm-up takes about two weeks (Modern Inbound's site gives 14 days free before campaigns start). Nothing is sent to prospects during this window. Our setup-only service for this stage starts at $499; see email deliverability.
Week 2: copy
Write the sequence while the mailboxes warm: a first email, two to three follow-ups, and LinkedIn connection and message copy that references the email. One persona, one problem, one ask. The agency should send you the copy for approval and should be able to explain why each line is there.
Week 3: first sends and the multichannel sequence
Sends begin at low daily volume per mailbox and ramp. The same decision-maker gets the email and, a few days later, a LinkedIn touch from a name they have already seen. In our campaigns that pairing is what has consistently lifted replies. First meetings typically arrive between weeks three and six; that is a planning range, not a guarantee.
Weeks 3 to 6: reply handling
Every reply is read and categorised: interested, question, not now, wrong person, unsubscribe. Interested replies get a booking link or a proposed time within the hour; "not now" replies go into a follow-up cadence; "wrong person" replies produce a referral ask. This is the step cheap programmes skip and the step that decides whether a 10% reply rate becomes two meetings or ten.
Weeks 4 to 6: booking and no-show management
Meetings go straight into your calendar with a confirmation, a reminder the day before and a reminder an hour before. No-shows get a same-day reschedule message and two more attempts. Agree in advance what counts as a held meeting; Prospeo's pricing-models guide puts a healthy show rate at 70 to 90% and calls anything under 60% "a targeting or data problem".
Week 6: reporting and tuning
A weekly report should show sends, opens where measurable, replies by category, meetings booked, meetings held and pipeline created, by persona and by sequence. The first six weeks produce the data to cut the weakest segment and double the strongest one.
Pricing models and published ranges
| Model | Published Indian prices | Published US and global ranges (2026 guides) | Best when |
|---|---|---|---|
| Monthly retainer | From $899/mo managed outbound (Digital Patron); $999–$1,499/mo (LeadShuttle); appointment setting from ₹3,00,000/mo (ClientMagnet) | $3,000–$15,000/mo (Gigradar, May 2026); $2,000–$15,000+ with basic $2,000–$5,000 and mid-tier $5,000–$10,000 (Prospeo); $3,000–$8,000 (Prospeo pricing page); $3,000–$5,000+ (Instantly); $2,000–$5,000 (SalesBread) | You want a fixed scope and predictable spend, and you will judge the agency on cost per held meeting after 90 days. |
| Pay-per-meeting | $150–$300 per meeting with a $999 setup fee (LeadShuttle). No other Indian agency we checked publishes a per-meeting price. | $300–$600 per meeting at enterprise level, $50–$300 SMB, $600–$1,500+ C-suite (Prospeo pricing models); $150–$400 standard, $400–$750 BANT-verified (Prospeo pricing page); $75–$500 (SalesBread); $400–$1,500 BANT-verified (Gigradar) | You have a tight, well-defined meeting standard and can accept lower volume for lower risk. |
| Hybrid | No Indian agency we checked publishes a hybrid price. | $2,000–$4,000/mo base plus $150–$400 per qualified meeting (Prospeo); $5,000–$7,500/mo plus $500 per BANT-verified meeting (Gigradar playbook) | You want the agency's margin tied to meetings but will fund the tools and data. |
| Setup fee | From $499 (Digital Patron); none on ClientMagnet or Blueberg retainers; $999 on LeadShuttle pay-per-meeting | $500–$2,000, often waived on annual contracts (Prospeo); $500–$3,000 (Instantly) | Always ask what it covers; it should be domains, mailboxes, records and warm-up. |
| Managed AI SDR engine | $1,799, $3,600 or $5,200/mo (Digital Patron) | Most agencies do not publish prices for this model. | You want email plus LinkedIn run end to end, with booked calls, and no SDR headcount. |
Note the spread in the per-meeting column. The guides disagree by a factor of ten because they are pricing different things: a "booked" meeting with any title at a small company is not the same product as a BANT-verified meeting with a VP at an enterprise. Compare per-meeting quotes only after the meeting definition is written down.
Digital Patron's published prices
All prices are in US dollars; Indian clients are invoiced in INR with GST. Tool seats and data credits are additional.
- Managed outbound: from $899 a month. Cold email plus the LinkedIn Sales Navigator add-on, reply handling and meetings booked into your calendar. See appointment setting.
- Growth scopes: $1,500 to $2,200 a month for multi-persona or multi-market programmes.
- AI Outreach Engine: $1,799 (Starter), $3,600 (Growth) or $5,200 (Scale) a month. Starter runs one AI agent on one persona at 500 touchpoints a day; Growth runs an advanced agent on two to three personas at 1,000 a day with ICP scoring and weekly tuning; Scale runs two agents at 2,000-plus a day with a dedicated engineer. The booked-call ranges on our pricing page (5 to 10, 12 to 18 and 25 to 30 a month) are typical outcomes stated on our pricing, not guarantees. See outsourced SDR alternative for how this compares with hiring.
What results to expect, honestly
Reply rates are a function of list quality first, offer second and copy third. The same sequence to a hand-verified list of 800 people who have the problem will outperform the same sequence to 8,000 scraped contacts every time. So any agency that quotes you a reply rate before seeing your list and offer is quoting a number from somewhere else.
Here is what we can show. One Instantly campaign we ran sent 7,000 emails at a 74.7% open rate and a 17.8% reply rate, producing 136 opportunities and $308,550 in pipeline. That is one campaign, in one market, with one offer; it is not an average, and we do not promise it. The dashboard screenshot is in our track record.
Two documented client cases show the shape of a normal programme:
- Texas SaaS startup. A seed-stage SaaS company in Austin was spending $20,000 a month on an SDR team at a cost per meeting of $1,200 and show rates under 50%. After switching to an AI-agent engine, it booked 22 qualified meetings in the first 21 days, and cost per meeting fell to about $350. Show rates landed in the high 60s percent.
- Paris MedTech supplier. Selling to hospital procurement heads and clinical directors in English and French, the company booked 19 qualified meetings in 45 days and added €250K-plus to pipeline in 90 days. The first booked meeting came in week two.
Two cases are two cases. The honest planning assumptions are: first meetings in weeks three to six, a 70 to 90% show rate once reminders and rescheduling are in place, and a cost per held meeting that falls over the first quarter as weak segments are cut. If a programme is not producing meetings by week eight, the list or the offer is wrong, and the fix is to change one of those, not to send more.
How to evaluate a vendor
- Ask for the meeting definition in writing. Title, company size, confirmed interest in the problem, and what happens to the fee on a no-show. Instantly's guide and Prospeo's both say disputes come from vague definitions.
- Ask who owns the infrastructure. Domains and mailboxes in your name mean you keep the deliverability you paid for if you leave.
- Ask who reads the replies and how fast. An hour is good; next day loses meetings.
- Ask what is passed through. Data, tool seats, Sales Navigator and GST are usually extra. Instantly's guide suggests adding about 20% to retainer estimates for tools and data if they are not in the base fee.
- Ask for one real campaign's numbers, labelled as one campaign, rather than an "average reply rate".
- Ask how people and AI divide the work. We run campaigns with AI agents plus our team and no human SDRs; other vendors use human setters or callers. Neither is wrong, but the price should match the model.
- Check the minimum term and the exit. Two to three months is normal (ours is two months on the $800 package; ClientMagnet's Pipeline Starter is 90 days); Prospeo flags an early termination fee above one month's retainer as a red flag.

Frequently asked questions
How much do appointment setting services cost?
In India, published prices run from $899 a month for managed outbound (Digital Patron) and $999 to $1,499 a month (LeadShuttle) to ₹3,00,000 a month for ClientMagnet's appointment setting; LeadShuttle publishes $150 to $300 a meeting. US guides from 2026 put retainers at $3,000 to $15,000 a month and pay-per-meeting at $300 to $600 for enterprise meetings, with SMB meetings from $50 and C-suite meetings up to $1,500 and more.
What is a qualified meeting?
Whatever the contract says it is, which is why it must be written down. A workable definition is: the right title at a company that matches the ICP, who confirmed interest in the problem you solve, and who attended the call. BANT-verified meetings (budget, authority, need, timeline confirmed) are priced two to three times higher than booked-only meetings in Gigradar's guide.
How long before an appointment setting service books meetings?
Warm-up takes about two weeks, first sends begin in week three, and first meetings usually land between weeks three and six. The Paris MedTech case saw its first meeting in week two on a tight list; the Texas SaaS case booked 22 in its first 21 days live. Treat weeks three to six as the planning range.
Is pay-per-meeting better than a retainer?
It is lower risk and usually higher cost per meeting. A $899 retainer that produces five held meetings is about $180 a meeting, below the $300 to $600 enterprise pay-per-meeting range. Pay-per-meeting makes sense when you have a strict meeting definition and would rather have fewer, guaranteed-to-standard meetings.
Does Digital Patron use human SDRs?
No. Campaigns are run by AI agents on email and LinkedIn with our team handling strategy, copy, reply triage and booking. We have offices in Gurugram and Mohali, have run outbound for 130+ B2B companies (50+ IT consultancies, 70+ SaaS startups, 10+ staffing firms), and the founders have five years in outbound. If you want phone-led setting, choose a vendor with callers.
What show rate should I expect?
Prospeo's pricing-models guide calls 70 to 90% healthy and under 60% a targeting or data problem; Instantly's guide sets a target of 75 to 85%. Our Texas SaaS case landed in the high 60s percent against a sub-50% baseline from the previous SDR team. Confirmations, two reminders and same-day rescheduling are what move this number.
